Terms & Conditions

1. Overview

These Terms & Conditions ("Terms") govern any booking, order, or engagement with Apex Flow Studio ("AFStudio", "we", "us", or "our") for cinematic sim racing video production services. By submitting a booking form or making a payment to us, you ("client") agree to be bound by these Terms.

2. Services Provided

AFStudio offers cinematic video production for sim racing content, structured into the following tiers: Bronze (replay-based edit), Silver (full custom filming), Gold (multi-car production), and Platinum (ongoing partnership retainer). Full details of each tier are listed on our Pricing page. Custom requests outside these tiers are scoped and quoted individually.

3. Booking & Payment

• A booking is confirmed once the client's brief has been reviewed, a quote has been agreed, and payment (or an agreed deposit) has been received.
• Payments are accepted via PayPal or QRIS.
• Work begins only after payment or deposit has cleared, unless otherwise agreed in writing.
• For Platinum partnerships, payment schedules and rates are defined in a separate written agreement.

4. Revisions

Each tier includes a set number of revision rounds: 1 round for Bronze, 2–3 rounds for Silver and Gold, and revision terms defined per agreement for Platinum. Revisions must relate to the original brief; requests that significantly change the original scope (new car, new track, new concept) may be quoted as additional work.

5. Turnaround Time

Estimated turnaround is 3–5 business days for Bronze and Silver, and 5–7 business days for Gold, counted from confirmed payment and receipt of all required assets from the client. Platinum deliveries follow the schedule set in the partnership agreement. Turnaround times are estimates and may vary depending on project complexity and current workload.

6. Ownership & Usage Rights

• Upon full payment, the client receives the right to use the final delivered video for their own personal, team, or commercial promotional purposes (e.g. YouTube, Instagram, Discord).
• AFStudio retains the right to use any project delivered — in full or as clips — for its own portfolio, showcase reel, and social media, unless the client explicitly requests otherwise in writing prior to delivery.
• Raw project files, camera work, and unused footage remain the intellectual property of AFStudio and are not included in the delivery unless separately agreed and paid for.
• The client is responsible for ensuring they have the right to submit any replay files, mods, liveries, or other third-party assets used in their project.

7. Cancellations & Refunds

• If a project is cancelled before work has begun, any deposit paid will be refunded in full, minus any payment processing fees.
• If a project is cancelled after work has begun, payment for work already completed is non-refundable.
• AFStudio reserves the right to decline or cancel a booking prior to starting work, in which case any payment received will be fully refunded.

8. Client Responsibilities

The client agrees to provide accurate project briefs, respond to revision requests and questions in a timely manner, and supply any required assets (such as replay files) promptly. Delays caused by the client providing incomplete information or late feedback may extend the delivery timeline accordingly.

9. Limitation of Liability

AFStudio is not liable for delays or issues caused by third-party software (such as Assetto Corsa, CSP, or game mods), hardware failures, internet outages, or other circumstances beyond our reasonable control. Our total liability for any claim related to a project is limited to the amount paid by the client for that specific project.

10. Governing Law

These Terms are governed by the laws of the Republic of Indonesia, without regard to conflict-of-law principles. Any disputes arising from these Terms will first be addressed through good-faith direct communication between the parties.

11. Changes to These Terms

We may update these Terms from time to time to reflect changes in our services or business practices. The version in effect at the time of booking will apply to that project. Continued use of our services after changes are posted constitutes acceptance of the revised Terms.
